This article is describing how to use Document Type in your Procurement workflow and leveraging Document Template

Documents

In Spendesk Procurement, you can store your vendors documents.
You can collect during procurement workflow either by adding a document field in the request form or any other task form to collect document from a request.
You can also use the document tabs to add any document to a request.

Document Type

You can configure Document type in Procurement> Settings > Documents
To Create a Document Type , click on + Add

Then choose a name for your document type and upload a template if needed.


Document template

What is a document template?

A Document Template is a file you attach to you document type and that appear as a downloadable link in you Document description when the Document Type is added to a procurement process (Request Form or Workflow Task Form).


You can use this document template to share document that need to be download fill/sign by your supplier.

A simple example:

If you need to share a Code of Conduct that need to be sign by every supplier. Create a new document Type with name = "Code of Conduct", add a document template that is the file that will be shared with your supplier.

Then, you can add to any process a Vendor Onboarding task and add to this task a Document and select Document Type = "Code of Conduct".

Then when a request is create on this process, vendor contact will be able to download this document and to upload the fill/sign (outside of the platform) as document field and this file will be store as a document in your request and once request completed as in your vendor profile.
