To comply with these regulations and seamlessly exchange electronic invoices with your suppliers, customers, and public administrations, your company needs to be registered on the Peppol network.

Understanding Access Points
You cannot use two Access Points simultaneously - each Participant Identifier must be linked to only one Access Point at a time.
Note: Your Access Point for receiving Peppol invoices (Reception APP) can be different from your Access Point for sending invoices (Emission APP).
Steps to Switch to Spendesk
1. Deregister from Your Current Access Point
Contact the provider currently managing your Peppol registration
Request the deactivation or removal of your registration
This step is essential to free up your Participant Identifier and make it available for registration with Spendesk
2. Register Spendesk as Your New Access Point
Once your previous registration is deactivated, you can proceed with registering Spendesk as your Peppol Access Point through your Spendesk account.
How to Register on the Peppol Network with Spendesk
What is Peppol?
Peppol (Pan-European Public Procurement On-Line) is a standardized network for the secure exchange of electronic documents, such as invoices, between businesses and public administrations in Europe. It simplifies and standardizes the e-invoicing process, facilitating B2B (Business to Business) and B2G (Business to Government) exchanges, particularly for cross-border transactions.
Registration Process
Registration is completed through Spendesk, your accredited Peppol service provider.

VAT Number
Street Name and Number (Address)
Postal Code
City
Country
Required Documents:
💡 This step is not always mandatory, you’ve probably provide this information to Spendesk for the KYC.
You will need to scan and upload one of the following identification documents:
ID card
Passport
Resident card
Driver's license
Activation
Once your registration is complete and verified, your Peppol Participant ID will be created and activated (e.g., BE1017430624). You'll then be able to receive electronic invoices through the Peppol network via Spendesk.
Peppol Registration: Common Errors and Troubleshooting
Common Registration Errors
Pending Status
If your Peppol registration shows a "Pending" status, this typically means:
You haven't completed the KYC (Know Your Customer) process yet - Ensure you've submitted all required identification documents
You are already registered on Peppol via another Access Point - You must deregister from your current provider before registering with Spendesk
"Data Does Not Match" Error
This error occurs when the information you've entered doesn't match the official data registered with the KBO (Crossroads Bank for Enterprises).
Solution: Verify that all business details (company name, VAT number, address) exactly match your KBO registration.

Quick Tips for a Smooth Peppol Registration
✓ Double-Check Your Business Details
Ensure the information you've entered in Spendesk (and in the Peppol registration form) exactly matches the official records in the KBO. Even small discrepancies can cause registration errors.
✓ Keep Track of Existing Registrations
If you've registered with a third-party provider, ensure you deregister with them first before registering on Peppol with Spendesk
Check with your accountant - they may have already registered your business on Peppol through their accounting software
Remember: You can only have one active Access Point per Participant Identifier
✓ Complete the KYC Process
Have your identification documents ready (ID card, passport, resident card, or driver's license) to avoid delays in the verification process.
