When using analytical dimensions on Spendesk - expense categories and analytical fields - you have the choice to make this dimension splittable so that you can allocate their values on your payables before exporting them to your accounting software.
If you do not not perform analytic accounting, you can just set your analytical dimensions as 'not splittable' in Spendesk.
Important notes:
Analytical split is activated to all companies by default. If you cannot make analytical dimensions 'splittable' or 'not splittable', please contact your Spendesk contact.
Cost centers are always available for splitting.
Expense categories are not splittable by default at creation but you can modify this afterwards.
Make the analytical dimension splittable
First of all, you can go to Settings > Organisation > Analytical fields and check if your analytical dimensions are currently splittable or not splittable by clicking on the wheel icon and then Update expense category (for expense categories) or Edit the analytical field (for analytical fields). You can now choose for this analytical field to have it:
Splittable - you can allocate the payable with different values;
Not splittable - you cannot split the payable with different values.
As for cost centres they are always splittable on your payables when you are in Bookkeep > Prepare.
Prepare and export your payables with analytical split
Once you have the right settings for your expense categories and analytical fields, you can go to Bookkeep > Prepare to prepare and export your payables. When you open an expense you can see a section called Accounting and analytical allocation where you can:
Apply analytical dimensions and cost centers to the total amount;
Or add new lines by clicking on the button Add a new line to allocate amounts to your splittable analytical dimensions.
Once prepared, the expense can be pushed to your accounting software, either using a file-based integration or a native integration.
