DATEV Rechnungswesen: a KOST system (cost-centre system) is missing from Spendesk

Why a KOST system (cost-centre system) isn't offered in Spendesk, and how to enable it in DATEV.

If KOST-System 1 or KOST-System 2 isn't offered in Spendesk, the cause is a setting in your DATEV client, not in Spendesk. This article explains why and how to fix it.

Why a KOST system is missing

Spendesk only offers the KOST systems that DATEV allows for postings. In DATEV, a KOST system is usable for postings only when its option Eingaben unterstützen und prüfen is ticked. When it isn't, DATEV reports the KOST system as inactive, and Spendesk hides it: you can't link it to a Spendesk analytical field, because its cost centres couldn't be used on payables.

You may notice it in two ways:

  • In Settings > Accounting Setup > Mapping & sync, only one KOST system is offered.

  • A KOST system that was already linked to a Spendesk analytical field disappears after a refresh.

Step 1 — Enable the KOST system in DATEV

Ask your DATEV administrator or tax advisor to do this in the DATEV client connected to Spendesk:

  1. Open Stammdaten > Kosten- und Leistungsrechnung > KOST-Systeme.

  2. Select the KOST system that is missing and click Ändern. In the details at the bottom, the column Eingabeunterstützung shows whether it is activated.

  3. On the KOST-System tab, tick Eingaben unterstützen und prüfen.

  4. Click Speichern und schließen.

ℹ️ The option Buchungen auswerten ab (tab FIBU-Buchungen) has no effect on Spendesk: only Eingaben unterstützen und prüfen counts.

Step 2 — Refresh the accounting settings in Spendesk

Wait about five minutes after saving in DATEV, then go to Settings > Accounting Setup > Accounting integration and click Refresh accounting settings.

Step 3 — Link the KOST system in Mapping & sync

  1. Go to Settings > Accounting Setup > Mapping & sync: the KOST system is now offered.

  2. Link it to the Spendesk analytical field you use for these cost centres. If that field was linked to the other KOST system as a workaround, switch the link.

  3. If the cost centres don't show in Settings > Organisation > Analytical fields yet, click Refresh accounting settings once more.

If the KOST system was linked before it disappeared, check that the link is still there, and link it again if needed.

Check that you are still connected in Settings > Accounting Setup > Accounting integration, then contact our support team with your DATEV client number and the time of your refresh.
