Customize the display of rows and columns

How to customize export by selecting specific rows and columns to display, including options for managing analytical data.

The export customization module allows you to select in detail which rows and columns you want to display.
Furthermore, at the column level, it enables you to choose on which types of rows you want to display the information.

Let’s go over all this in detail, starting with the rows, then the columns, and finally with a few practical examples.


Row Display



At the end of the main export settings header, the 'Row Display' menu allows you to choose which types of rows, among four different types, you want to include in your export model:

  • charge rows;

  • analytical rows;

  • VAT rows;

  • supplier rows.


Note that for analytical rows, you are given the option to create a 'common analytical row.'


As we will see in the examples below, the analytical display can be done either on separate rows or on the same row. In the latter case, it is necessary to create this specific row.

✅ If you check a row, it means you want it to appear in your export.

❌ If you uncheck a row, it means you do not want it to appear in your export.

Be aware that just because you select a row to be displayed doesn’t necessarily mean that there will be information entered for that row in every column.

This is managed directly at the column level, as we explain below.



Column Display




For each column, you can choose, among the rows you’ve selected to display, on which ones you want to show the information.

For example, if you’ve chosen to display charge, analytical, VAT, and supplier rows, these four options will be available for each column, as shown in the screenshot above.

For columns related to analytical fields, such as Cost Centers, Expense Categories, or custom analytical fields, several options are available for displaying information on the analytical row:

  • display on all existing rows;

  • display on a new row, which can be combined with the previous option or not;

  • display on the default row, provided you’ve activated the display of such a row in your row settings. This option can also be combined with the others.


Examples of Practical Applications


Case 1: Display all rows and analytical rows in a stepped format

To achieve the layout above, simply:

  • select "expense line", "analytical lines, VAT line, and supplier line in the custom display settings for your rows;

  • select analytical lines and the sub-option 'create a new line for this value' in the customization of your analytical columns.

Case 2: Display charge rows and supplier rows, show analytical rows together on the same line, and do not display VAT rows


To achieve the layout above, simply:

  • select charge rows, analytical rows, and supplier rows in the custom display settings for your rows;

  • select analytical rows and the sub-option 'create a new row for this value' in the customization of your analytical columns.


Case 3: Display charge rows, supplier rows, and VAT rows, and do not display analytical rows on a separate line but group them on the charge row


To achieve the layout above, simply:

  • select charge rows, VAT rows, and supplier rows in the custom display settings for your rows;

  • select charge rows, VAT rows, and supplier rows in the customization of your analytical columns.
