Set up Procurement notifications in Slack and email

Spendesk Procurement automatically notifies people by email, and by Slack if the integration is connected, whenever a request, approval task, or contract renewal needs attention. Slack notifications are sent as direct messages only — never to a shared channel.

For: Procurement Managers (setup), and Requesters, task assignees, team members, and business owners (recipients) using Spendesk Procurement.

The Procurement module must be enabled for your organization. If you can't access procurement.spendesk.com, contact your Account Manager

Who receives notifications

Users receive notifications based on their Procurement role and involvement in the relevant request. Slack delivery also requires the Slack identity to match the Procurement account.

👥 Roles: Only a Procurement Manager can connect or disconnect the Slack integration for the whole organization.

Connect Slack to Procurement

  1. Log in to Spendesk Procurement at https://procurement.spendesk.com

  2. Click Settings in the left sidebar

  3. Select Integrations from the settings menu

  4. Locate the Slack Integration card

  5. Click Connect Slack

  6. Verify the Slack workspace name shown in the top-right corner of the authorization page

  7. Review the permissions requested: read user information, send messages and direct messages, read user email addresses

  8. Click Allow to authorize the integration

💡 Tip: These permissions let Procurement match your Slack account to your Spendesk account so notifications reach the right person.

Verify the integration

In Procurement:

  1. Go to Settings > Integrations

  2. Confirm the Slack integration shows as Connected

  3. Confirm your Slack workspace name is displayed

In Slack:

  1. Open your Slack workspace

  2. Scroll to the Apps section in the left sidebar

  3. Confirm the Spendesk app is listed

  4. Click Spendesk to open the App Home

  5. Confirm you see the Home, Messages, and About tabs

⚠️ Note: Spendesk's Procurement Slack app was previously named "Okko." Use Spendesk as the current app name. Do not disconnect and reconnect the integration solely to refresh the displayed name unless instructed by Spendesk Support.

Test the integration

  1. In Procurement, create a new request, or assign a task to yourself

  2. Check your Slack direct messages within a few seconds for a notification from the Spendesk app

  3. If nothing arrives, follow the Troubleshooting steps below

Notifications you'll receive

Once connected, you'll receive Slack and email notifications for:

  • New tasks assigned to you

  • Task status updates (approved, rejected, completed)

  • Mentions in request comments

  • Task reminders for pending approvals

  • Request lifecycle events (created, approved, rejected)

  • Contract renewal alerts

If a Procurement Manager sets a lead time on an approval task, Procurement computes a due date and sends reminders 1 day before and 1 day after that due date to the approver.

If someone mentions you in a request comment, you receive both an email notification and a Slack direct message when Slack is connected and your Slack identity matches your Procurement account.

Contract renewal alerts

Every contract can be assigned to a business owner. If a contract comes from a procurement request, the requester is the default business owner.

Disconnect the integration

  1. Go to Settings > Integrations in Procurement

  2. Click Disconnect Slack

  3. Confirm the disconnection

⚠️ Warning: Disconnecting stops Slack notifications for your entire organization. Email notifications continue as configured and are not affected.

Troubleshooting

Symptom: The "Connect Slack" button doesn't do anything.
​Cause: A pop-up blocker or third-party cookie setting is preventing the redirect to Slack.
​Resolution:

  1. Disable pop-up blockers for procurement.spendesk.com

  2. Allow third-party cookies in your browser settings

  3. Try again in an incognito or private window

Symptom: The integration shows "Connected" in Procurement, but the Spendesk app doesn't appear in Slack.
​Cause: You authorized the app in the wrong Slack workspace, or the installation was interrupted.
​Resolution:

  1. Disconnect the integration in Procurement

  2. Remove the Spendesk app from Slack, if visible

  3. Reconnect following the steps in Connect Slack to Procurement

  4. Confirm you're authorizing in the correct Slack workspace

Symptom: The Spendesk app appears in Slack, but you receive no notifications.
​Cause: Your Slack email doesn't match your Procurement email, or the connection has expired.
​Resolution:

  1. Confirm your Slack email matches your Procurement email exactly

  2. Disconnect and reconnect the integration

  3. Contact Spendesk support if the issue persists

Symptom: Slack shows the error "You don't have permission to install apps."
​Cause: Your Slack workspace requires admin approval for new app installations.
​Resolution: Ask your Slack workspace admin to pre-approve the Spendesk app, grant you temporary installation permissions, or install the app on your behalf.

Symptom: You can't access Settings > Integrations in Procurement.
​Cause: You don't have the Procurement Manager role, or the Procurement module isn't enabled for your organization.
​Resolution: Ask a Procurement Manager to grant you the role, or contact your Account Manager to enable the Procurement module.

FAQs

Can I receive notifications in a Slack channel instead of direct messages?
No. All Procurement notifications are sent as direct messages from the Spendesk app. Channel notifications aren't supported.

Can I choose which notification types I receive in Slack?
No. There are currently no individual notification-type toggles. Notifications are sent automatically based on your role and your involvement in the request. Requesters receive request lifecycle notifications, task assignees and team members receive task notifications, and Procurement Managers receive the request-level events relevant to their scope.

Will disconnecting Slack affect my email notifications?
No. Email and Slack notifications work independently. Disconnecting Slack only stops Slack notifications.

Do all users need to connect Slack individually?
No. A Procurement Manager connects the Slack workspace for the organization. Eligible users receive Slack notifications when their Slack identity matches their Procurement account and the event applies to their role or assignment.

What happens if I change my Slack email address?
If your Slack email no longer matches your Procurement email, you'll stop receiving Slack notifications. Keep both addresses in sync.
