🎈 Set up your accounting codes

Add your accounting codes to display them in your bookkeeping export.

This setting is available for Controllers and Account Owners only.

If you need help please reach out to your Customer Success Manager.

You can set up your accounting codes in Settings > Accounting.

If you don't add your accounting codes, you won't be able to use the Prepare and Export features. If you only use account statements or purchase journals without accounting information, you don't need to add your accounting codes.

Add your general accounts

For every account, we are always asking for:

  • your Spendesk bank account (512): you have to create it in your charts of account if not yet done.

  • your bank fees account (627): it is used to log interchange fees or services fees for cash withdrawal.

  • your bank account to fund Spendesk (512): it's usually your corporate bank account and the one you've chosen to fund Spendesk the first time and on.

Add your expense accounts

There are two ways to add expense accounts:

  • you can add them manually: you have to add their name and their accounting code. Click on Save when you're done.

  • you can add them by bulk. Download the template, fill it, then import the file.

Add your VAT codes

We suggest per default your country's VAT rates and you can edit their names (1st column) and their codes (3rd column). If you need to add more, you can at the bottom of the chart. Don't forget to click on Save.

The VAT rates will appear in Prepare with the Account code + Account name together, so that you can search by code or by name.

👉 Use reverse charge?

When reverse charge applies, the following two tax accounts are debited and credited. You can enter your corresponding accounts codes. It is possible to add more than one reverse charge account.

VAT codes will not be mentioned in bank fees lines in the export.

Currency fees appear in the bank journal only (on the last day of the month).
