Understand the Controller view's dashboard

Your dashboard gives you a real-time snapshot of your company's spending, wallet balance, and pending actions as soon as you log in.

For: Account Owners and Controllers, on all Spendesk plans.

Before you start

  • You need the Controller or Account Owner role to see this dashboard.

  • Available on all Spendesk plans.

  • No prior setup is required — the dashboard appears automatically once you have the right role.

👥 Roles: Only Controllers and Account Owners can view this dashboard. Other roles (Requester, Administrator) land on a different homepage.

Access your dashboard

  1. Log in to Spendesk with a Controller or Account Owner account.

  2. Land on the dashboard automatically — it's your welcome screen.

  3. Click the Spendesk logo in the top-left corner from any other tab to return to the dashboard at any time.

What your dashboard shows

Your dashboard displays the following information:

  • Your available balance

  • The amount loaded on your cards

  • The amount in your Spendesk wallet (your company's funds held with Spendesk)

  • Total spend over the last 6 months

  • Late receipts (expense receipts submitted after the due date)

  • Payments to export, invoices to pay this week, and payments to prepare

💡 Tip: Use the Spend Trends dashboard for a deeper breakdown of your company's spending patterns over time.

View your wallet details

  1. Click on your company's name > View wallet details on your dashboard.

  2. Review your wallet's funding information, funding history, and statements.

  3. Alternatively, navigate to Wallet on the left menu to access the same information.

If your current balance is lower than the sum of your card allocations and scheduled transfers, your dashboard displays a shortfall to alert you. Top up your wallet to secure your upcoming expenses.

Troubleshooting

Symptom: I don't see the dashboard when I log in.

Cause: Your account doesn't have the Controller or Account Owner role.

Resolution: Ask your Account Owner or Administrator to update your role. See Assign different roles.

Symptom: My dashboard shows a shortfall even though I don't plan to use my full card limits.

Cause: The shortfall is calculated as your current wallet balance minus the sum of all card allocations and scheduled transfers, regardless of actual expected usage.

Resolution: Review your card limits and scheduled transfers in your Wallet > Details, and adjust them if they don't reflect your actual spending needs.

Symptom: The balance shown on my dashboard doesn't match the balance in your Wallet.

Cause: These two views can pull from slightly different data points.

Resolution: Refresh both pages and compare again. If the discrepancy persists, contact Spendesk support with screenshots of both views.
