Please take a moment to read through the important information below.

As part of your Spendesk transition, the subscription holders within your organisation will have to review and renew their subscriptions, and physical cardholders that you have selected earlier will receive new cards that require activation . These actions will need to take place by 31 July 2024. You can track their progress in this dashboard.

We will be informing them about these changes with clear guidance about the steps they have to take. However, if you want to encourage your employees at any point to complete the actions, we have prepared the templates below for you to leverage. Feel free to amend the text as not all the employees will need to take both actions.

Note: For employees that have had a Spendesk card, but have not been selected for a new Spendesk card, their current cards will stop working at the point of account closure.

First awareness message

Hello X,

We are currently rolling out a transition with Spendesk, as they will be working with a new payment service provider. As part of this you will be required to take two actions:

Activate new physical cards

You will receive a new Visa card and this will need to be activated. To do this follow these 3 steps:
Log in to Spendesk & click on the Card tab, or the card pop-up on your mobile app

  1. Click on I received my card

  2. Enter your card's last four digits

This will need to be completed by July 31st to avoid any business disruptions. Once your new Visa card is activated your old Mastercard will expire and should no longer be used.

Review and renew your subscriptions

Subscription cards created before the transition will also need to be reviewed & renewed as soon as possible.

To renew your subscription(s), follow these 5 steps:

  1. Click on this link to access an overview of all your subscriptions.

  2. Select which ones you want to keep and deselect the ones you no longer need* (no approval process required).
    *Note - cards for subscriptions that are not selected will be immediately deactivated

  3. Generate a new card for each subscription*
    *Note - the subscription card you’re replacing will only deactivate once the new card is generated.

  4. Log on the associated merchant’s website and go to your Payment details/Cards.

  5. Update your card information on the merchant’s website to keep your subscription active.

    This can be done via desktop or the Spendesk mobile app.

Note that the Spendesk mobile app is required to verify online payments. Make sure to have it downloaded before you replace card numbers on your suppliers’ website. You can get it here.

Reminder email

This is a reminder that your new Spendesk card should be activated & your subscriptions renewed by 31 July 2024.

Please make sure to complete the following actions as soon as possible to avoid any disruptions to you or your colleagues' work.

Activate your new card

You have received a new Visa Business debit card and need to activate it on the Card tab. If you are also an Admin, your card can be activated from your ‘Avatar > Physical card’ tab.

Review and renew your subscriptions

Are you no longer the owner of the subscription? Ask your finance team to update it on Spendesk.
