As part of your free Spendesk upgrade, the subscription holders within your organization will have to review and renew their subscriptions, and physical cardholders that you have selected earlier will receive new cards from June 17th. You can track their progress in this dashboard.

We will be informing them about these changes with clear guidance about the steps they have to take. However, if you want to encourage your employees at any point to complete the actions, we have prepared the templates below for you to leverage. Feel free to amend the text as not all the employees will need to take both actions.


First awareness message

Hello X,

We are currently upgrading Spendesk, our spend management provider. As part of this upgrade, you will be required to take two actions:

Activate new physical cards

You will receive a new Visa Business Premium card. The card will have local numbers and therefore a higher acceptance rate across a wider set of merchants. You will have to activate your new card as your existing Mastercard will expire by XX/XXXX at the latest.

Review and renew your subscriptions

As part of the upgrade, our underlying Spendesk account has changed, and your existing subscription cards will expire on the XX/XXXX at the latest.

To renew your subscription(s), follow these 5 steps:

Click on this link to access an overview of all your subscriptions.

Select which ones you want to keep and deselect the ones you no longer need.

Generate a new card for each subscription.

Log on the associated merchant’s website and go to your Payment details/Cards.

Update your card information on the merchant’s website to keep your subscription active.

Or if you prefer, you can do the same in your Spendesk mobile app.

Note that the Spendesk mobile app is required to verify online payments. Make sure to have it downloaded before you replace card numbers on your suppliers’ website. You can get it here.

Your card/subscription will expire by X at the latest. Make sure to complete the following actions by x date to avoid any disruptions to your or your colleagues’ work.

Activate your new card

You have received a new Visa Business Premium card with a higher acceptance rate across a wider set of merchants. You have to activate your new card on the Card tab - your existing Mastercard will expire by XX/XXXX at the latest. If you are also an Admin, your card can be activated from your ‘Avatar > Physical card’ tab.

Review and renew your subscriptions

Your subscriptions will expire by XX/XXXX at the latest. Renew them to avoid any business disruptions. To do so, follow these 5 steps:

  1. Click on this link to access an overview of your subscriptions.

  2. Select which ones you want to keep and unselect the ones you no longer need.

  3. Generate a new card for each subscription.

  4. Log on the associated merchant’s website and go to your Payment details/Cards.

  5. Update your card information on the merchant’s website to keep your subscription active.

Are you no longer the owner of the subscription? Ask your finance team to update it on Spendesk.
