Accounting settings page

Once you connected your DATEV account with Spendesk, your accounting settings page will reflect the accounting codes needed by DATEV when exporting your expenses. Every account code value will be validated using the official SKR format guidelines, as well as by looking at your own account length preferences, which Spendesk retrieves automatically from your DATEV account.

If some of your accounts don't match DATEV's format requirements, Spendesk will highlight them in red and show specific error messages. Here's a complete overview of the format expected by DATEV for those accounts.

Bank accounts

Spendesk bank account and Wallet funding account are used in the bank journal export. The bank fees account will be allocated as the primary account of foreign exchange fees lines (charged by our banking partners for payments that were made in a currency different than your wallet's).

Expense accounts

You'll have the ability to add expense accounts manually or to import them.

The values will need to match the format required by DATEV (usually between 4-6 digits, without spaces), otherwise Spendesk will show specific errors.

VAT accounts

In this section, you'll be invited to fill out your VAT accounts (called BU codes in DATEV). Please make sure to add valid BU codes/rates listed in DATEV's official documentation. An option lets you choose whether you want Spendesk to actually export this data to DATEV.

Supplier accounts

This section will let you choose a default, generic account to apply as a creditor account (Kreditorenkonto) to your card and invoices' payments. If your account has the 'Supplier invoices' feature activated, you'll also be able to allocate individual accounts payable to your invoice suppliers. All of these accounts will also need to match DATEV's format requirements.

Employee accounts

Similarly to supplier accounts, Spendesk will let you choose either a generic or individual employee accounts that will be used for your employees' reimbursements (either expense claims, mileage and per diem requests). These accounts will also need to match the Kreditorenkonto format requirements.

Cost centers

Finally, Spendesk supports cost centers (Kostenstellen): if your DATEV KOST1 and KOST2 have been replicated in Spendesk using custom fields, you'll be able to map them in this section. If you'd like to use them on Spendesk, contact your account manager to open them. The underlying cost center values will need to match DATEV's format requirements.

After correctly setting up your accounting codes, you should now be able to export your expenses —along with their receipts— to DATEV.
