Currently, the Spendesk <> Sage 100 integration only supports analytical plans containing a fixed list of values, and not plans that accept free-form values.
Linking an analytical plan and an analytical field
To specify which analytical plan you want to associate with which analytical field, go to Settings > Accounting.
You will see the list of all analytical plans retrieved from Sage 100, and you will be able to associate the Spendesk analytical field of your choice by clicking on the pencil icon on the right, as shown in the screenshot below:
⚠️ Once an analytical plan is linked to an analytical field, all the values of the corresponding analytical plan will be imported into Spendesk and visible under Settings > Analytical Fields.
However, if the analytical field you link to an analytical plan already contains values created manually, those values will not be deleted.
This means that if you select these manually created values during your preparation while the integration is active, the export will fail and be blocked because the value does not exist or is not accepted by Sage 100.
For this reason, we recommend linking your Sage 100 analytical plans to Spendesk analytical fields created specifically for this purpose or for which all previous values have been deleted.
Linking an analytical field and a cost center
Linking an analytical field and a cost center is possible but functions slightly differently from linking with an analytical field.
If you select your cost centers opposite a Sage 100 analytical plan, we will not import the values from that analytical plan into your cost centers.
This is to avoid overwriting your cost centers, which, in addition to their analytical function, also play a role in defining your approval workflows.
Therefore, when the link between a plan and a cost center is established, you must ensure that the names of your cost centers correspond to existing values in the linked analytical plan.
At the time of export, based on the selected cost center, the information will only be pushed if an identical value with the same name exists in the linked analytical plan. Otherwise, the export will fail and display an error.
